The Pipeline shows all your leads by stage - from a new contact to a qualified one. If the Feed is «sort the incoming», the Pipeline is «what am I working on right now».
Where leads come from
You do not add leads by hand. A lead appears in the pipeline on its own when its signal reaches the feed as a lead. Posts the AI rejected do not get here until you bring them back with Mark as lead. One person is one card, however many times they write.
Four stages
| Stage | Who is here |
|---|---|
| New | The lead just appeared; nothing has been sent to them yet |
| In progress | A message went out to the lead - from you or from an agent |
| Qualified | The lead answered; the conversation confirms interest |
| Rejected | You rejected their signal, and the person has no other signals in work |
Stages move on their own
The AI moves leads automatically:
- the first message sent (yours or an agent's) moves the lead to In progress;
- on Telegram, when a lead in In progress writes you a second message, they move to Qualified;
- Reject lead in the feed moves them to Rejected if they have no other signals in work, and bringing the card back with Mark as lead returns them to New.
You change a stage by hand in two ways:
- open the lead card and pick the stage in the Stage switcher;
- or press Select above the board, tick several leads and press Change stage.
ℹ️ Note: cards are not dragged between columns - the stage is changed in the lead card or through Select.
Two views
The switcher at the top: Kanban (columns by stage) or Table. The table shows the lead, channel, stage and update date; click the Updated header to change the order. In the table you tick leads with checkboxes, and Select all filtered leads selects them all at once.
Filters
- Channel - one channel or All channels;
- Period - 7 days, 30 days or All time (by the lead's last update);
- the Name or keyword search.
The lead card
Clicking a lead opens a panel:
- Conversation - the lead's latest signal and the latest message of the conversation. The whole conversation is in the card in the Feed, Conversations view;
- Stage - change the stage by hand;
- Write - send a message right from here, without going back to the feed. The button is there only for leads from Telegram and Threads. Under the box it says where the text will go: on Telegram - to the lead's direct messages, on Threads - to where the lead was found. After sending, the lead moves to In progress.
CSV export
- Export to CSV at the top of the screen builds a file with all your leads, regardless of filters: one row per lead with the name, profile link, stage, tags, notes and up to 20 of their latest messages, each linked to the original. The file opens in Excel and Google Sheets.
- To export only some leads, select them and press Download CSV.
- One file holds up to 20,000 leads.
Limits
- The board shows the 500 most recently updated leads, and filters and search work within them. The full list is in the CSV export.
- The pipeline does not refresh on its own: reload the page to see fresh data.
How the pipeline relates to the feed
You sort the incoming in the Feed and follow how conversations go in the Pipeline. How to reply to leads - see «Replying to a lead».
💡 Tip: the Qualified column is the most honest measure of how the system works for you. If it is empty while In progress is full, the problem is usually not the number of leads but the texts: people receive the messages and do not answer. Review the AI-Brain (see «Company AI-Brain») and the responder prompt.
